Responsibilities

What You'll Do:

 

 

The Administrative Assistant provides comprehensive administrative and clerical support to management and clinical staff within the facility. This role involves managing office and medical supplies, processing invoices, coordinating meetings and events, and assisting with essential reporting requirements. The Administrative Assistant plays a critical role in ensuring smooth day-to-day operations across departments.

 

  • Administrative Support: Provide clerical and administrative support to clinical and management staff, including scheduling meetings, taking minutes, and assisting with daily office tasks.
  • Meeting Coordination: Schedule and coordinate conference room and training room reservations. Take detailed meeting minutes for various internal meetings.
  • New Employee Orientation (NEO): Assist management staff and HR in organizing and executing New Employee Orientation programs as needed.
  • Information Distribution: Ensure that brochure display boards throughout the facility are properly stocked and updated with current information.
  • Reporting Support: Assist with county and state reporting requirements, including but not limited to seclusion and restraint documentation, MCO reporting, and Key Performance Indicator (KPI) reporting.
  • Event Coordination: Help plan and organize annual staff events such as the skills fair, including scheduling, logistics, and communication with staff.
  • Financial Administrative Tasks: Manage and process billing documents and invoices. Ensure that financial and office-related functions are completed accurately and in a timely manner.
  • Supply Management: Order office, clinical, and other necessary supplies, and maintain inventory for each unit to ensure supplies are consistently stocked.
  • Other Duties: Perform additional duties and special projects as assigned by management, supporting the overall function of the facility.

 

Qualifications

What You'll Bring:

 

  • High School Diploma or equivalent 
  • 3 years of administrative assistant or relevant work experience 
  • Proficiency in Microsoft Suite and excellent computer skills 
  • Critical thinking skills and the ability to problem solve daily
  • Exceptional customer service skills and interpersonal skills with a collaborative style 
  • The Company has a mandatory vaccination policy. All successful applicants must be fully vaccinated, including showing proper documentation, or otherwise be exempt pursuant to the Company’s exemption process prior to their start date as a condition of employment
  • State of Virginia Fingerprint Clearance
  • Must be able to pass Virginia Department of Behavioral Health & Developmental Services (VA DBHDS) background check
  • Must be able to pass Virginia Department of Social Services (VA DSS) Office of Background Investigations - Central Registry Search

 

It would be great if you had:

  • Associate’s degree  
  • Experience in a healthcare setting
